What is the difference between an ATS and recruitment automation?
An ATS provides a place to manage applications and recruiting records. Recruitment automation carries out defined actions around those records, such as sending a follow-up or collecting interview answers. Products can overlap, so teams should compare the actual workflow and available connections rather than rely on labels.
Decide which system owns the record
List the candidate fields and statuses involved in the workflow. Agree which system owns each one, which direction information should travel and what should happen if two systems contain different values. This reduces uncertainty when people review the result.
Define the trigger and the expected update
For each step, write down the event that starts it and the update that should follow. An application might trigger an invitation; a completed interview might trigger a profile update. Make timing and duplicate-handling part of the discussion.
Questions to ask about the workflow
| Question | ATS focus | Automation focus |
|---|---|---|
| Where is the application recorded? | Candidate and vacancy records | Uses or updates agreed fields |
| What starts the next action? | Status or event in the recruiting process | Configured trigger and action |
| How is information collected? | Forms and stored application records | Configured outreach and interview steps |
| What needs to be checked? | Record quality and access | Handovers, retries and exceptions |
| Who makes candidate decisions? | People using the system | People remain responsible |
Include exceptions in the design
Connections can fail, records can be incomplete and candidates can change information. Decide who sees an exception, whether the action can be retried safely and how to prevent a duplicate message or appointment. An integration should have an owner after launch.
Test a complete candidate journey
Review the process from application through recruiter handover. Check that the right information appears where the team works, that candidate messages make sense and that people can see what has happened. A successful data transfer alone does not prove the whole workflow works.
A practical starting checklist
- List the tools and fields involved.
- Choose the source of truth for each field.
- Define the trigger and expected output for each action.
- Agree handling for failures and duplicate records.
- Review a complete journey with the recruiting team.
Common questions
Does recruitment automation mean replacing our ATS?
Not necessarily. A workflow can complement existing tools if suitable interfaces and data access are available. The scope needs to be checked against your systems.
Can any ATS be connected?
No universal connection is promised. Integration depends on the product, available APIs or webhooks, permissions and the workflow you need.
What should we bring to an integration discussion?
Bring the system names, the relevant fields and statuses, a process example and the result you want the team to see.
